A lesson is worth keeping when it changes the next attempt
“Communicate better” is easy to agree with and hard to use. A useful lesson identifies what happened, the detail that mattered and the next action it should change. The delivery was late before anyone loaded the van
Imagine a service team prepares equipment for an event. The venue requires deliveries before 8 a.m. The coordinator, Rob, checks the address but misses the receiving window. At 9 a.m., a loaded van waits outside a closed delivery entrance.
The team’s first lesson is “communicate earlier.” That does not tell the next coordinator what to check. A stronger lesson says: confirm the venue’s receiving window before booking the vehicle, because the customer’s event time does not establish when a delivery can enter.
Now the lesson changes an identifiable action on the next job.
Keep the event behind the advice
NASA’s knowledge policy distinguishes a lesson from a general best practice: a lesson explains a particular event and recommends how to repeat a success or avoid a recurrence.
For Rob’s team, that means keeping the venue restriction and the booking sequence with the advice. The next coordinator can understand the reason instead of treating another checklist line as arbitrary.
A lesson can also come from an attempt that needed correction. The mistake may contain the most useful part of the story.
Write a lesson someone can act on

Make the lesson part of work instead of another report to write

Test a similar job with one important difference
Ask a colleague to plan another delivery using the lesson. Then tell them the venue has no separate receiving window. They should know why the earlier check mattered without assuming every venue follows the same rule.
That is how to evaluate lessons-learned software: follow a specific lesson to a later person and ask what it helped them do. Stored notes are the starting material. A better next attempt is the result worth seeking.
